Terms & Conditions

These Terms & Conditions apply to all clubs, classes, workshops, events, and sessions provided by Sunflower Dance. By booking with us, you agree to these terms for yourself and your child(ren).

1. Bookings & Payments

After-School Clubs

  • Sessions run across 37 academic weeks, split into 12 equal monthly payments.
  • Payments are made via Class4Kids.
  • Failed payments must be resolved within three attempts or the child’s place may be withdrawn.
  • One month’s notice is required to cancel a subscription.
  • Two paid trial sessions are available before enrolment.

School Holiday Dance Days

  • Booking and payment are required in advance.
  • Sessions are subject to minimum participant numbers.

Adult Dance Fitness

  • £5 per session on a drop-in basis (cash or bank transfer).
  • Sessions may be cancelled if minimum numbers are not met.

School & Event Bookings

  • School sessions can be booked per session or per half term.
  • Event pricing is arranged individually.
  • Invoices are issued after completion and must be paid within 14 days.
  • Late payments without communication may incur a £25 fee.

2. Attendance

  • Children must arrive and be collected on time.
  • Children arriving more than 10 minutes late may not be permitted to join the session.
  • We are not responsible for children outside session times unless agreed in advance.
  • Persistent lateness or absence may result in loss of place.

3. Dress Code & Personal Belongings

  • Children should wear comfortable dance clothing and non-marking indoor footwear.
  • Hair must be tied back and jewellery removed.
  • All belongings should be labelled.
  • Sunflower Dance accepts no responsibility for lost or damaged items.

4. Staff

  • All staff hold enhanced DBS checks and appropriate training.
  • We aim to provide a safe, supportive, and enjoyable environment.
  • Staff may occasionally change due to illness or scheduling.

5. Behaviour

  • Respectful behaviour towards staff, participants, and venues is expected at all times.
  • Bullying or disruptive behaviour may result in removal from sessions.

6. Health & Safety

  • Risk assessments are completed for all venues and activities.
  • Qualified first aiders and first aid equipment are available at sessions.
  • Parents must inform us of any medical conditions, allergies, or injuries.
  • Children who are unwell or contagious should not attend.
  • Parents must state on Class4kids whether they give photo consent. Pictures/footage taken may be used across our social media platforms/websites and publications.

7.Cancellations & Refunds

  • Refunds are not provided for missed sessions, illness, or early withdrawal.
  • Credits or refunds may be considered in exceptional circumstances.
  • Medical absences may be credited with a doctor’s note.
  • Dance Day cancellations with sufficient notice may be transferred once to a future session.
  • School or event cancellations are charged as follows:
  • 14–30 days’ notice: 25% fee
  • 7–13 days’ notice: 50% fee
  • Less than 7 days: 75% fee
  • If Sunflower Dance cancels a session, a credit or full refund will be offered.

8. Trial Sessions

  • Two paid trial sessions are available before full enrollment.
  • Trial sessions must be booked separately.

9. Communication

  • Communication will be via email, WhatsApp, or Class4Kids.
  • Parents/guardians must keep contact details up to date.

10. Acceptance

By booking with Sunflower Dance, you confirm that:

  • You have read and accepted these Terms & Conditions.
  • You consent to your child taking part in sessions.
  • You will notify us of any changes to medical or contact information.
